About the Role
We are looking for a full-time Dispensing Coordinator to join us in delivering outstanding patient care. You’ll play a key role in providing expert advice, sharing knowledge on frames and fittings, and delivering ongoing care that makes patients feel confident, comfortable, and cared for.
As a Dispensing Coordinator, you will play a key role in delivering a high-quality dispensing experience for our patients. Your focus will be on guiding patients through their optical options, helping them choose the most appropriate eyewear and optical solutions for their vision, lifestyle and clinical needs.
This role is centred on dispensing excellence, product knowledge and patient care. While you will also support with pre-screening, reception and general practice operations, your primary responsibility is to coordinate and deliver an outstanding dispensing journey – from recommendation and selection through to fitting, collection and aftercare.
You will help patients feel informed, looked after and confident in their choices, while supporting the practice to maintain high professional standards, efficient processes and a strong commercial performance.
KEY RESPONSIBILITIES
- Deliver an excellent dispensing experience for patients, supporting them in choosing frames, lenses and other optical solutions that best meet their visual, lifestyle and budget needs.
- Use the clinician’s recommendations to build suitable and personalised optical solutions, including lenses, coatings, contact lenses, accessories and additional pairs where appropriate.
- Take accurate facial and fitting measurements to ensure safe, effective and comfortable dispensing outcomes.
- Assist with the fitting, collection and adjustment of spectacles, ensuring patients are happy, confident and well supported after purchase.
- Carry out pre-screening and operate optical equipment in line with training, competency and practice protocols.
- Build strong rapport with patients and communicate confidently about products, benefits and available options in a clear and professional way.
- Support the smooth running of the dispensing area, ensuring it is well organised, well-presented and aligned with practice standards.
- Contribute to stock control, ordering, product management and other dispensing-related administration.
- Complete operational duties linked to the role, including collections, banking, date checking and other routine practice processes.
- Maintain accurate patient records and documentation in accordance with data protection requirements, GOC standards and company procedures.
- Follow all legal, professional and clinical SOP requirements relevant to the role.
- Support the Practice Manager and Dispensing Optician with dispensing operations and day-to-day workflow as required.
- Work as part of the wider practice team, supporting colleagues with front desk and administrative duties where needed, including greeting patients, answering calls, booking appointments and taking payments.
SKILLS, KNOWLEDGE & EXPERIENCE
- Greater than three years’ experience working in an opticians.
- Experience in optical dispensing and a good understanding of the patient dispensing journey.
- Experience of carrying out pre-screening and using optical equipment.
- Sound knowledge of frames, lenses, lens options and the wider optical industry.
- Strong communication skills with the ability to explain products and recommendations clearly and confidently.
- A patient-focused approach with a commitment to delivering an outstanding standard of care and service.
- Strong attention to detail, particularly when taking measurements, dispensing products and maintaining records.
- Good organisational skills and the ability to balance dispensing, operational and administrative responsibilities.
- A flexible, team-oriented approach and willingness to support wider practice activity when required.
- Basic computer skills and the ability to learn new systems and software.
